Privacy Policy
1. Health Information Collection & Use
We collect personal health information including medical history, diagnostic reports, prescription records, treatment plans, and insurance details solely for delivering healthcare services you have requested. This data is used by your assigned clinical team to provide accurate diagnoses, monitor treatment progress, and coordinate cross-specialty care within Secure Med Support.
2. Protected Health Information (PHI) Standards
All Protected Health Information is handled in strict accordance with HIPAA regulations and India's Digital Personal Data Protection Act. PHI includes patient names linked to health conditions, diagnostic imaging, laboratory results, mental health records, genetic information, and reproductive health data. We maintain the highest tier of data classification for all PHI.
3. Data Encryption & Security
All patient data is encrypted using AES-256 at rest and TLS 1.3 in transit. Our infrastructure undergoes annual SOC 2 Type II audits and quarterly penetration testing. Database access is restricted through role-based access control, multi-factor authentication, and zero-trust network architecture. Physical server access requires biometric verification.
4. Third-Party Data Sharing
We do not sell, rent, or trade your health data under any circumstances. Data is shared only with: your insurance provider with explicit written consent, specialist referral partners within the Secure Med Support network, laboratory and diagnostic centres for test processing, and regulatory bodies when legally mandated. All third parties are bound by Business Associate Agreements with equivalent privacy obligations.
5. Patient Consent & Rights
You retain full ownership of your health data. You may request a complete copy of your medical records within 30 days, demand correction of inaccurate entries, withdraw consent for future data processing, and request permanent deletion of non-regulatory-mandated records. Consent is collected separately for each service category and may be revoked at any time without affecting ongoing treatment continuity.
6. Telehealth Consultation Privacy
All telehealth sessions are conducted over end-to-end encrypted video channels. Session recordings are created only with explicit patient consent and stored in encrypted repositories with 90-day automatic deletion policies. No telehealth session data is used for training, research, or any secondary purpose without separate, specific consent.
7. Health Data Retention
Adult medical records are retained for 10 years from the last date of treatment. Paediatric records are maintained until the patient reaches age 25. Insurance-related data is retained as mandated by IRDAI regulations. Upon expiry of retention periods, data is securely destroyed using NIST 800-88 compliant methods with destruction certificates generated.
8. Cookies & Digital Tracking
Our website uses strictly necessary cookies for session management and appointment booking functionality. We do not deploy advertising trackers, social media pixels, or cross-site tracking mechanisms. Analytics cookies are activated only with your informed consent and process anonymised, aggregated data solely to improve user experience.
9. Data Breach Response
In the event of a data breach, we commit to notifying all affected patients within 72 hours, providing detailed information about the scope and nature of the breach, offering complimentary identity monitoring for 24 months, conducting a full forensic investigation, and implementing corrective measures within 30 days. Breach notifications comply with HIPAA Breach Notification Rule requirements.
10. Genetic & Biometric Data
Genetic testing results, biometric scans, and genomic profile data receive enhanced protection beyond standard PHI. This data is stored in isolated, access-controlled environments with additional encryption layers. Genetic data is never used for insurance underwriting decisions and is excluded from all data-sharing agreements unless separate, specific authorisation is provided.
11. Minors' Health Data
Health data of patients under 18 is governed by additional safeguards including mandatory parental or guardian consent for data collection and processing. Minors' records are inaccessible through standard staff access protocols and require elevated authorisation. Upon reaching majority, patients gain independent control over their historical records.
12. Policy Updates & Notifications
This policy is reviewed quarterly and updated as regulatory requirements evolve. Material changes that affect data handling practices will be communicated via direct email notification at least 30 days before implementation. Continued use of Secure Med Support services after policy updates constitutes acceptance. Previous versions are archived and available upon request.
Terms & Conditions
1. Service Scope & Medical Disclaimer
Secure Med Support provides clinical healthcare services including primary care, dental care, dermatology, trichology, weight management, fitness programming, and insurance advisory. All medical services are provided by licensed practitioners. Information on our platforms is for educational purposes and does not constitute medical advice. Always consult your Secure Med Support physician before making health decisions.
2. Appointment Scheduling & Cancellation
Appointments may be scheduled online, by phone, or in person. A valid government-issued ID is required at check-in. Cancellations must be made at least 12 hours before the scheduled time. No-shows and late cancellations incur a fee of ₹500 for standard consultations and ₹1,500 for specialist appointments. Emergency cancellations are reviewed on a case-by-case basis.
3. Treatment Consent & Informed Decision-Making
Prior to any procedure, your Secure Med Support provider will explain the diagnosis, proposed treatment, expected outcomes, potential risks, and available alternatives. Written informed consent is required for all surgical procedures, invasive diagnostics, and treatments involving anaesthesia or sedation. You have the right to refuse or discontinue any treatment at any stage.
4. Prescription & Medication Policy
All prescriptions are issued by licensed Secure Med Support practitioners based on clinical evaluation. Prescriptions are non-transferable and valid for the duration specified. Refill requests are processed within 24 business hours. Controlled substance prescriptions comply with NDPS Act requirements and require in-person review for each renewal. We do not honour external prescription requests without verification.
5. Payment, Billing & Refunds
Payment is due at the time of service unless a payment plan has been arranged. We accept cash, UPI, debit/credit cards, and approved health insurance. Refunds for overpayments are processed within 14 business days. Services rendered are non-refundable except in cases of documented billing errors. Itemised bills are available upon request within 90 days of service.
6. Insurance Claims & Coordination
Secure Med Support assists with insurance claim filing for empanelled providers. Patients are responsible for verifying coverage before receiving services. Claim submissions are made within 7 business days of service completion. Disputes between patients and insurers are between those parties; Secure Med Support provides documentation support but cannot guarantee claim approval. Co-pay and deductible amounts are collected at the time of service.
7. Telehealth Terms
Telehealth consultations are available for eligible services as determined by your provider. By scheduling a telehealth appointment, you acknowledge that virtual consultations have inherent limitations compared to in-person visits, emergency situations require calling emergency services, and your provider may determine that an in-person visit is necessary. Telehealth sessions are billed at the same rate as in-person visits.
8. Patient Code of Conduct
All patients and visitors are expected to treat Secure Med Support staff, practitioners, and fellow patients with respect and courtesy. Disruptive behaviour, verbal abuse, threats, or any form of harassment will result in immediate termination of the appointment and may lead to permanent dismissal from the practice. Weapons, illegal substances, and smoking are strictly prohibited on all Secure Med Support premises.
9. Medical Records & Documentation
You may request copies of your medical records at any time. The first copy is provided free of charge; subsequent requests within the same calendar year incur a processing fee of ₹200. Record transfers to another healthcare provider are completed within 15 business days. Secure Med Support retains records in accordance with regulatory requirements as detailed in our Privacy Policy.
10. Liability & Indemnification
Secure Med Support provides care in accordance with accepted medical standards. While we strive for optimal outcomes, medicine carries inherent uncertainties. Secure Med Support is not liable for outcomes resulting from patient non-compliance with treatment plans, failure to disclose complete medical history, unforeseen allergic reactions to properly prescribed medications, or delays caused by patient-initiated rescheduling. Patients indemnify Secure Med Support against claims arising from withholding material health information.
11. Intellectual Property & Digital Content
All content on the Secure Med Support website, mobile application, patient portal, and marketing materials — including text, imagery, logos, treatment protocols, and educational resources — is the intellectual property of Secure Med Support. Unauthorised reproduction, distribution, or commercial use is prohibited. Patient testimonials are used with written consent and may be withdrawn upon request.
12. Dispute Resolution & Amendments
Any disputes arising from healthcare services will first be addressed through Secure Med Support's internal patient grievance mechanism. Unresolved disputes may be referred to independent medical arbitration. These terms may be amended with 30 days' notice posted on our website and communicated via the patient portal. Continued use of services after amendments constitutes acceptance. Severability applies: if any provision is found unenforceable, remaining provisions remain in full effect.
